Make people feel welcome

Attending a conference or event can, for some people, be a source of anxiety. From concerns over finding the event venue to worries over making small talk, delegates can become stressed before they even arrive. Alleviate your guests’ concerns from the outset by making everything as easy as possible for them. Firstly, capacity, opting for a venue that cannot accommodate your number of guests will make the event feel overcrowded, likewise, an event space which is too big will make the event feel poorly attended. Also, be sure to choose an event venue that is easily accessible with good transport links. Opting for a venue that is difficult to get to may put your guests off attending. 

Give guests a change of scenery

A change of scenery can help to reinvigorate your guests and boost networking. Feed your guests

Food is a really important element of any event and no matter how you choose to feed your guests, whether with a buffet, BBQ or sit-down meal, reassure yourself ahead of the event of the quality of food served by sampling some in advance. Meet also with the venue’s catering team to share any menu ideas you may have and to get inspiration. You can also use the time to establish your catering budget. 

Get feedback

The best way to improve your events is to find out what people liked and didn’t like about the current one. This kind of data is invaluable to event organisers who will use it to inform future event planning. You can gather delegate feedback in a variety of ways, including through an interactive app, anecdotally or through feedback forms, whatever method you choose, aim to capture your delegates views before they leave the venue, while the event is still fresh in their minds.
