Five tips for more memorable meetings

If you are hosting a meeting it is likely for a good reason and your business will no doubt have key information it wishes to communicate to its staff, customers and its stakeholders. 

Bringing people together in one space is a great start, but how can you create a meeting that lingers in the minds of your delegates and ensures that your key messages are received? 

To help you, we have come up with five tips to make your meetings memorable…

  1. Pick the right venue
    Opting to host your meeting in a space which makes an impact is a great start to making your event more memorable. There are a number of ways you could do this, for example, you could opt for an unusual venue such as a museum or high-end store which is likely to catch people’s attention. The disadvantage however is that the space may not be able to offer the flexibility your event needs. In choosing designated meeting rooms you are likely to get the space and technical equipment you need to ensure your event runs smoothly. Often offering a blank space, choosing a conference room or meeting venue can also be dressed to suit your event theme, giving you free rein to make an impact.

  2. Meeting activities
    Meetings needn’t be one person talking while everyone else takes notes. If you want delegates to interact with you, throw in a few activities to keep them engaged and to help them to relax. Consider things such as Q&A sessions or tasks that are to be completed throughout the meeting, ensuring they stay alert for the whole event. If possible, get your guests up and moving around to stimulate their minds and bodies. 
     
  3. Hire a guest speaker/host
    A guest speaker or celebrity host is a great way to impress your guests and ensure your meeting is well remembered. There are many speakers to choose from, so selecting one for your event needn’t be hard work. Look to book a speaker/host that links to the over-arching themes of your event, for example, a motivational speaker would be a great addition to a meeting about boosting productivity.

    Even short meetings will benefit from the addition of food. From pastries and cakes to a full-blown sit-down dinner, by offering your guests delicious food, your meeting stands a good chance of being remembered.

  5. Give your guests something to remember
    Help your guests to remember your event by putting together a goody bag for them to take away. Contents could include brochures and other promotional material that you would like them to read but also little treats that they can use when back in the office, such as stationery, a mug or water bottle.
